21 + Policy

Sharespace has a strict 21 and up policy. I understand that I must be over the age of 21 to book my event at Sharespace, and that I may be required to provide a copy of my valid ID or driver’s license. I understand that my attendees must be 21 years of age or older and minors must be accompanied by a parent or legal guardian. My reservation will be subject to cancellation if I am not 21 and up and if I can not provide my proof of age within 24hrs of request.


If you are cancelled and refunded for breaking our 21 years of age and older policy or any other policy, you will be responsible for the card processing fees. Your refund will be the amount you paid minus card processing fees.

Note: We allow family events with children/under 21 with adults present.

Late Check Out

At Sharespace we have back to back events so it’s incredibly important that renters are checked out on time. Please help us keep things running smoothly and respect the next event by checking out on time.

I agree and understand that I will be charged a late check out fee (no exceptions) of $100 FIVE MINUTES AFTER my check out time if we are not fully out of the venue. For example: If my check out time is at 4pm, I will be charged $100 at 4:05pm; if myself, any of my guests/attendees or any of my belongings are still inside the venue. If I check out 30 minutes or after my original check out time I will automatically be charged a $300 fine.


Check In And Out Times

I understand that I cannot add any additional time to the end of a daytime rental and that I must be cleaned up and checked out by 4pm. I WILL BE CHARGED FOR LATE CHECK OUT.


Saturday and Sunday Rentals: I understand that I cannot add additional time to my evening rental prior to 6pm and that my check in time is 6pm or after. I understand that my code for check in will be activated at 6pm exactly and I can enter the space to begin setup at 6pm or after. OR I HAVE BOOKED A FULL DAY RENTAL


Parking for Preston

The private driveway in front of Sharespace – Preston St. parks up to 4 cars. The parking lot to the right is a paid public parking lot. It is conveniently located next door but we have no affiliation with this public lot. They TYPICALLY charge $5 per car but will increase the rate if there’s a game or something happening in the area. We do not have information about their rates ahead of time, it’s what’s posted outside on their sign. Our experience is that they don’t raise the rate unless there’s a public event happening in the area. Please be sure your guests pay them. There’s a pay station if no attendant. If the pay station is not working for some reason, text us and we will try to contact them to fix it. This paid public lot is not free at any time. They will boot for non-payment. PLEASE NOTE: Full day rentals are subject to additional/all day parking fees. The parking lot to the left of us is a private lot for next door, there is no parking available at this lot. YOU WILL BE TOWED.


Parking for Naylor

We highly suggest valet for parking. We have a small parking lot and metered street parking around the building (more metered parking under I-10 too). Ask us for the valet company we are working with.



We communicate with the Renter listed on the Rental Agreement and one other person, otherwise we all risk poor communication and mixups. The additional person must be listed on your Invoice, send us an email with their info if they are not listed at the time of your rental.


Deliveries, Storage and Pick up

All deliveries must be made during the hours you have the space booked. Some rental companies are not able to pick up during late hours. Please check with your rental company on their rules and policies. Sharespace is not able to allow for delayed/next day pick up for rented items as we have back to back events and early check-ins. We are not able to store items at our venues at anytime before or after your rental time. The renter is subject to a late check out/late pick up/left items fee. The late check out/late pick up/left items fee is: an automatic $100 five minutes after your check out time and a fine of $300 30 minutes or after your check out time.


Late pickups/left items

I understand that if I still have items/furniture left in the venue after my rental time (due to late pick ups by a rental company) that I will be charged for late check out, no exceptions.


Reporting Damages

I am responsible for reporting damages right away. This also includes rented items not working during my event. I will contact Sharespace right away so they can help fix it during my event. I will not be refunded for non-working rental items if I wait until after my event to report issues.


Set Up Information

I have been provided with the set up page to help me plan my event. This page has information on check in, check out, what each venue provides and what to bring for my event. I am responsible for reading this information.





Sharespace Alcohol Policy

TABC LAW: It is legal to provide free alcoholic beverages without a permit. However, to be truly “free,” it must be available to any adult who walks in the door and requests it. If alcoholic beverages are only available to paying customers, the assumption is that the cost of the alcohol is included in the price of the service. This constitutes a sale of alcoholic beverages, and a TABC permit would be required. When you provide the alcoholic beverage, there cannot be any expectation of receiving money. You cannot ask for a “donation” or “tip.” If the drinks will only be available to paying guests, then you will need a permit.

Some examples: A wedding reception with free drinks is really free. A boutique that serves free wine while you shop, even if you don’t buy anything, is really free. A nail salon with a “free” drink when you pay for a manicure is not really free. If you buy tickets to attend a charity ball and they serve “free” drinks, those are not really free. If a tip jar sits next to a keg of beer expecting “donations,” the beer would not be considered free.


Security Deposit Agreement | Sharespace

Causes for Security Deposit Loss:

Not cleaning up after your event, late check out, damage, theft/missing items, professional/additional cleaning required, smoking indoors, and anything else that causes an additional expense and/or impacts the next rental.




IMPORTANT NOTICE: If you are not responding to us during your event and we have to make a trip out to the venue to reach you due to an issue or late check out there will be an automatic trip fee of $150. Example: If you contact us because there’s an issue and we need to check to make sure the issue is resolved but aren’t answering our text/call then we have to come out to the space to talk with you. Example: If you haven’t checked out yet and it is after your check out time and you are not responding to our text/call, we have to come to the space to talk with you.


FOR PRESTON ST: Your $300 security deposit via Stripe is held two days prior to your event date using the card we have on file. Security deposits will be released as long as there are no issues or damages. We will contact you first regarding issues/damages before any charges are made. We have up to 7 days to hold your security deposit.


FOR NAYLOR ST: Your $500 security deposit via Stripe is held two days prior to your event date using the card we have on file. Security deposits will be released as long as there are no issues or damages. We will contact you first regarding issues/damages before any charges are made. We have up to 7 days to hold your security deposit.


If there are obvious damages beyond $300 or $500 Sharespace has the right to hold an additional $300 or $500 using any card on file. Sharespace will attempt to contact the Renter prior to making any charges but has the right to charge for all damages caused during the Renter’s event.


I agree to these terms and understand that anything that jeopardizes the space, future rentals, or causes any additional expense will result in a partial or full loss of my security deposit


Sharespace Cancellation Agreement

It is 50% to reserve my date. The 50% deposit goes towards my rental and is NON-REFUNDABLE, NO EXCEPTIONS. The remaining balance is due on or before 45 days prior to my event date and is non-refundable/non-transferable. I can pay my balance at anytime prior to the 45 day mark. If unpaid, the card on file will be automatically charged on the 44th day prior to my event date and will be non-refundable/non-transferable. Sharespace has the right to cancel my event for non-payment 44 days prior to my event date for an unpaid balance.

The 50% deposit is non-refundable but transferable so long as date changes/cancellations are made at least 45 days prior to my event date. If I cancel my event at least 45 days prior to the rental date the 50% deposit (and any additional amount paid) can be applied towards another event with Sharespace (or anything paid over the 50% deposit can be refunded). There is a $100 transfer fee that is due at the time of cancellation/transfer. This amount will be charged to the card on file at the time of cancellation. Transfers must be used no later than 12 (twelve) months after the original scheduled rental date. Transferred rentals will be subject to current pricing (we don’t freeze your original rental amount). For date transfers: the full balance will be due at the time of booking to reserve your new date. The total amount paid will be non-refundable and non-transferrable. A date that is cancelled and moved to a new date can only be moved to the same day of the week or one of lesser value- only an event originally booked on a Saturday can move to a Saturday. Cancelled dates cannot move to a holiday unless approved by Sharespace. We allow one date transfer.

I understand that I am responsible for paying my full rental amount unless I cancel my event at least 45 days prior to my rental date.

If a rental is canceled less than 45 days prior to the rental date, the entire amount paid is non-refundable, no exceptions. Any additional amount owed (unpaid remaining balance) will be charged to a card on file. Sharespace has the right to send your balance owed to collections for non-payment. Sharespace does not provide refunds for situations beyond our control such as but not limited to: weather, parking, games/events/parades in the area etc. Sharespace does not give refunds for rentals booked prior to touring to secure a date yet later decide the venue is not a good fit. Tour first then book if there is any uncertainty.

I am aware that Sharespace STRONGLY encourages me to tour the venue before reserving my date. I understand and agree that Sharespace will not refund me should I decide the venue is not a good fit because I chose to book my date before touring the venue.

I understand that Sharespace reserves the right to cancel my Event at any time, and is not required to credit or refund me for any amount paid if my Event is cancelled for not following Sharespace guidelines.
